Financial Services at UNC Charlotte was established to provide central accounting and budgeting services for the University and its financial affiliates (foundations, related entities, etc.). The services provided in Financial Services are Financial Data Administration, University Controller (including General Accounting; Financial Reporting, Fixed Assets and eCommerce; Student Accounts and Cashiers; Accounts Payable; Payroll; and Business Process Reengineering), Budgeting, Sponsored Programs (including Grants and Contracts and Foundations and Related Entities Accounting), and Materials Management (including Purchasing, Receiving & Stores and Surplus Property).

Then sign up for direct deposit online through Self Service Banner and have University payments to you deposited into your checking account or savings account automatically. No muss, no fuss, no paper! You’ll receive an email notification before every deposit into your bank account.

Why do we have to use State Term Contracts?
Many items that are repetitively used by North Carolina agencies are purchased through State contracts. This system is designed to make goods available at a competitive price for all State users. State contracts are binding agreements and should normally be used for University purchases. However, in certain instances in which better or lower pricing is available, purchases from non-contract vendors may be made. State House Bill 975 (b) (1-4) revised the rules and allows universities to purchase from sources other than those on the state contract if the price, including delivery, is less than the cost of the item under state contract.

Why can’t I use state funds for flowers, fans, heaters and give-ways, etc.?
G.S. 143-58.1 (a) The purchasing power of the State or the agency shall not be used for private advantage or gain. Purchases under contracts made by the State or the agency, except those in accordance with G.S. 143-58.1 (a) shall not be allowed for personal use out of private funds nor shall agencies place orders for articles for ownership by employee or other individuals.

Which account code should I use for fixed assets when entering requisitions?
If the total cost of the asset is $5,000 or greater, then use a capital account code that relates to the asset. If the cost is less than $5,000, then use a non-cap account code as this asset will not be capitalized. For a list of fixed asset account codes: Fixed Assets Account Codes

Complete a Fixed Assets Equipment Disposition/Transfer Form and return it to Surplus Property in the Receiving & Stores Building. To access this form: Fixed Assets Equipment Disposition Form

When will my Travel Advance be ready?
How can I look to see if my invoice has paid?
To see if a Direct Pay Request has paid, access the vender history form FAIVNDH. Enter the vendor's UNC Charlotte ID number and next block to return all invoices that have been entered for that vendor. If the check number field is blank it means a check has not written. If there is a (Y) in the cancel column it means the invoice has been canceled. To see if an invoice with a purchase order has paid, access FOIDOCH and enter in the purchase order number and next block. This form will return all payments made on this purchase order. To view detail invoice information click on the invoice document number and F3. Purchase Order invoices can also be viewed on FAIVNDH if the vendor's UNC Charlotte ID number is known.
